FAQ

Questions, answered plainly.

Short answers. The long ones live in How it works and Trust.

Is it free for volunteers?

Yes, always. Checking in, your hours, share links, badges and Discover cost volunteers nothing. Nothing is charged to anyone during the demo.

Do volunteers need an app?

No. Check-in is a web page: scan the event’s QR code with the phone camera, or type the 6-character code.

What if someone forgets to check out?

At verify, one tap fills in everyone who didn’t scan out, counted to the end of the event. Their record prints the reason, so nobody mistakes it for a scanned time.

Can a coordinator inflate hours?

Every change needs a reason, and the record shows the captured hours next to the adjusted ones. Shifts over 8 hours are flagged. After verifying, the rows are read-only.

What does a school see?

A public page at the share link: VERIFIED or REVOKED, the organization’s statement, the captured and adjusted hours, and who to contact. No login needed, and search engines are asked not to index it. How to read a record

Can a volunteer edit their own hours?

No. Hours come from the check-in and check-out scans and the coordinator’s verification. The volunteer’s browser never sends an hour number.

What about minors?

Under 13 can’t join, and nothing is stored. Ages 13 to 17 confirm a parent or guardian knows when they join, keep their hours, and need a guardian’s OK to share a record. Under 18 gets announcements only: no event chats and no direct messages. Privacy for minors

Does the AI decide anything?

No. Claude drafts rows from a photo of a paper sheet, fills event forms and drafts wording. Nothing from a sheet saves until a coordinator confirms each row, it never invents a check-out time, and only a coordinator can verify hours.

What happens after an event is verified?

The rows become read-only and each volunteer’s hours move from “waiting” to their record. If something was wrong, the organization can revoke a record; its link then says REVOKED. It is never quietly edited.

Does it track where volunteers are?

Only if both sides opt in, and even then no coordinates are stored: only when someone left the area and roughly how far. Verifying the event wipes it.

Will organizations send me marketing?

Only if you opt in. Announcements are off until you turn them on in Account. Event-day notes to the people at an event you’re at, like where to meet, still reach you. SycaMore Live itself sends no marketing email.

Can I download or delete my data?

Yes, from Account. Download gives you a file of everything we hold about you. Delete removes your account; organizations keep their verified totals with no name attached. Your data

Can we keep our sign-up tool?

Yes. SycaMore Live starts at the sign-in table, not at sign-up. Paste your event’s link into a new event and the form fills itself.

Can we bring in old paper sheets?

Yes. Photograph the sheet and Claude drafts the rows, with unsure rows in amber. Nothing is saved until you confirm each one. On synthetic test sheets it got 19 of 19 rows right; a test on real handwriting is still pending.

Is this a real company?

No, it’s a student project started at Cal Hacks 13.0 in October 2026, and it’s running as a demo. About the team

Run your next event on the record.

Set-up takes about a minute, then a practice event teaches the rest. Volunteers never pay.
